Scouting Lead preparation

- Log in via Admin Login, you should be in the Admin Index
- Go into Load/Update events
- Note the ‘event key’ for the event - e.g., 2018njbri
- Click Teams to load in team data for this event; go back to Admin Index
- Type in the ‘event key’ and click “Set current eventId”
- The ‘Current Event’ label should switch to the new ID
- Go into See matches for the current event
- Click Update All Matches
- Matches will be listed once the data comes into the feed; go back to the Admin Index
- Go into Scouting Pairs
- Delete all pairs; go back to Admin Index
- Go into Manage Members

Make any user changes (if any needed) - add new, change names, change subteams
- Change users one at a time - click Update for each row one change at a time
- Go into Set who is present
- Adjust checkmarks and click Update {at bottom}; go back to Admin Index
- Go into “Scouting Pairs”
- Only non-leads & non-drive should be showing!
- If a Team Lead is not at the event, and a Second needs to be elevated to Lead:
- Go back to Manage Members
- Change the subteam of the Second to ‘lead’
- Go back to Scouting Pairs - they should no longer appear in the lists
- Form the desired scouting subteams - can be 1, 2, or 3 people
- Click Allocate teams to PIT SCOUTING
- THIS ACTION DELETES EXISTING PIT SCOUTING DATA FOR THIS EVENT IF ANY EXISTS
- Re-type in your password to confirm; go back to the Admin Index
- Click on the Pit Scouting option in the top nav bar to see Pit Scouting assignments
- Go into See matches for the current event
- Click Update all matches
- A list of unplayed matches will show up once the data is available online
- Repeat if needed; perhaps watch the The Blue Alliance app to see when their data refreshes
- Go back to the Admin Index
- Go into Scouting Pairs
- Click Allocate teams@matches to MATCH SCORING
- THIS ACTION DELETES EXISTING MATCH SCOUTING DATA FOR THIS EVENT IF ANY EXISTS
- Re-type in your password to confirm; go back to the Admin Index

Click on the Match Scouting option in the top nav bar to see upcoming Match Scouting assignments
- The above creates a "scout-focused" schedule, where scouts 'follow' teams.
- To instead create a "every 5 matches..." schedule, NEXT click Clear all MATCH SCORING assignments
- With this option, you can also include support folks, parents, etc. in the process
- Re-type in your password to confirm
- Add in any support/etc. individuals you want included in the match rotation by checking additional names
- If you have 6 total scouts assigned + checked folks, then everyone will always be scouting
- If you have 9 total, then folks will be on for 10 matches, off for 5, on for 10, etc.
- If you have 12 total, then everyone will be on for 5, off for 5, etc.
- If you have more than 12, then folks will occasionally have longer breaks
- If you have (say) 18 total, then folks will be on for 5, off for 10, etc.
- This will create a schedule up to the next break. Once the last match before the break has been finished and updated in the DB, click this again to get a new schedule up to the following break, etc.
